Lots of great information regularly comes from Toastmasters International that addresses Public Relations topics. If you haven't already, you are encouraged to sign-up to the Tips for Clubs Newsletter that's sent out each month. Some of the sections include:

Action Alert - recommended actions you can take this month
Announcements - things you and your club members should be aware of
Features - special information for the issue

One such feature this month is to highlight the fact that Toastmasters International has a YouTube channel that includes instructional videos, highlight videos from past conferences, interviews, and other useful content.

How can you leverage this YouTube channel, or any content that may be introduced through the Tips newsletter? If any of the videos address issues going on in your club, they can be used in a presentation or discussion. Most likely you may not be able to directly leverage these entirely for promotional advantages, but like many things we can't directly use, they may give you ideas that you can leverage. Open your mind and think outside the box!

VPPR Collaboration Call Friday, August 27

Due to popular request, we are moving the PRO Call to the Fourth Friday of the month at 12:00 PM noon for the time being to see how well that works.

The District's Public Relations Officer, Mike Kerr, hosts a series of monthly calls to highlight items the District wants to get the word out about, and also to provide a collaborative forum to share ideas, obstacles, and ways to overcome them between our VPPRs. I believe this is such a valuable forum that as this year's PRO, I've opted to continue with them. The calls are scheduled to last for one hour and are voluntary. All calls are recorded for later playback in case you were unable to attend.

Call-in information is emailed, as well as posted to our VPPR Collaboration Blog site, which you are encouraged to register to, or at least check back every week or two. If you have an RSS reader or use a mail program with an RSS feature, you can subscribe to it. I will be posting information pertinent to VPPRs on that site until we have an effective way of communicating this on our district site.

Smedley Season PRO Contest

Challenge your PR skills and come up with a creative way to incorporate the new District 27 Logo into your Smedley season campaign promitional material! Smedley season runs from August 1 through September 30. If you think you have something good, send it to pro@d27tm.org and our PRO Team will come up with a winner!

Submissions will be accepted until September 30, and the winners announced October 15th!

The District logo is available from the District 27 Website on the Public Relations Page.

Welcome new (and again) Club VPPRs to another exciting year! For those who were not VPPRs last year, the District's Public Relations Officer began a series of monthly calls on the 2nd Wednesday of every month at 7:30PM to highlight items the District wanted to get the word out about, and also to provide a collaborative forum to share ideas, obstacles, and ways to overcome them. I believe this is such a valuable forum that as this year's PRO, I've opted to continue with them. The calls are scheduled to last for one hour and are voluntary.

I am happy to announce that there have been some changes and improvements made to our District 27 website to coincide with the start of a new Toastmasters year! In the vein of our new district theme, "Let It Shine", we've brightened up the homepage with some new colours and a little more pizzaz to make things a little more appealing, and to provide more easy-to-find information.

All District Officers now have their own pages with content specific to them. Please check out the Public Relations page for the latest TV show, newsletters, district logos, and PR document resources! Improving the website is a high priority for us this year, so please check back on a regular basis as we add content. If you are RSS-savvy, just about every page and list on the website allows you to subscribe to them so you receive the most up to date content alerts in your RSS reader (hint: if you use Outlook or Mac Mail, RSS feeds can appear as mailboxes for simplicity).

I encourage you all to check out the changes and to leave feedback either to the webmaster, myself, or as a comment to this post.

Next VPPR Call May 12 7:30pm

Over the last couple of months we've instead held a Webinar during our regularly-scheduled District 27 VPPR call, embarking in a little bit of a different kind of collaboration.

Our next scheduled call is Wednesday, May 12th at 7:30pm and it'll be a normal VPPR call - in fact we won't be having any more Webinars this Toastmaster year as we begin the important transition to new VPPRs.

If your club has already had elections and you have identified your successor as VPPR for the coming year, we highly encourage you to let them know about this call! We also hope to announce the new D27 PRO, as we all begin looking towards ending this year on a high note, and begin the new year on solid footing.

The D27 PRO Team conducted two Webinars in March and April on Websites and Newsletters. These are hopefully the first in a series of Webinars designed to help complement TLIs for VPPRs. Dear District Leaders,

I have just received Kristen Rolapp’s most welcome message saying that all of us can extend the deadline for club officers trained until March 15. Because the TO line is blank I can not judge who was copied and because I don’t want anyone to miss out on getting this news ASAP, I am forwarding Kristen’s message to all of you.

Since we all talked about this possibility at great length for almost two weeks, I hope that you have planned, in the background, to get a few TLI sessions off while we were awaiting WHQs answer to our extension request.

Please make sure that no one club officer who has not been able to get to training can say that he/she didn’t get the news. Set up telephone trees if you have to; don’t rely solely on email and web site notifications of this extraordinary opportunity to get more officers trained and for some clubs to add such training toward reaching their DCP goals. I do hope all of our district club officers who were unable to make scheduled trainings due to the horrible weather conditions take advantage of this.

Though I also realize that all of you have to work extra hard to find venues and trainers on short notice. Good luck and much success. If you have any questions, feel free to call or email me.

Leadership Seminar March 13

We are indeed fortunate to have the Region VII second year International Director Annelie Weber come to our District on March 13th to present a valuable Leadership Seminar.

If you are thinking of becoming an Area Governor please plan to attend. If you plan to recommend someone to be an Area Governor, please encourage them to attend this seminar. If you know of someone who is thinking about being an Area Governor or assuming a leadership position in a club, Area, Division or at the District-level, please suggest to them that they attend this training program.

The seminar will focus on the key position of Area Governor and how it is a vital link between members and clubs at the top of the inverted leadership pyramid and District leadership at the Division, Lt. Governor and District Governor levels at the opposite end of the pyramid.

However, if you are considering taking a leadership position at any level, from the club through District Governor, or if you are just interested in learning about how Toastmasters International views leadership, this leadership seminar will provide you with that understanding and will give you tools and techniques to assist you on your personal path to Leadership Mastery.

Join us on March 13th at the AVAYA (previously Nortel) facility in Fair Lakes, Fairfax, Virginia. Registration is at 8:30. The seminar will run from 9:00 to 10:30 with a possible optional event from 10:30 - 11:00 AM. A light snack will be provided.

Speakers Bureau Auditions March 20

After much deliberation, thought, research and discussion, we finally have a plan and, more importantly, a possible date for the first round of auditions- March 20th - More details to follow as they become available. In the meantime, please fill out the application form, write up a brief bio and write and practice your speech. If you need more information, please email shu1@cox.net.

I am including an outline of the selection and audition process along with the judging criteria and form for your information.

Anyone who wishes to be considered may submit an application. Applicants will audition for a speaking slot.

The Audition:

Auditions will be held at scheduled TM events
The candidates will deliver a 5-7 minute speech on the topic of their choice and area of expertise
The speeches are open to any Toastmaster who wishes to attend
At least 5 (of 10) judges will be present and will be interspersed in the audience
The judges will be anonymous
The judges will have a judging form/criteria to use for the judging process (example copied below)
The judges will convene after the auditions to vote on a pass/fail basis
It will require an 80% pass rate for a candidate to become a member of the Speakers Bureau

The Web Site:

Successful candidates will be listed on a District web site
Each candidate will provide a photo, a bio along with a list of topics the speaker can talk about.
The site will include a video clip of the speaker that "clients" can watch.
It will include contact info for the speaker AND the District
There will also be an evaluation form to be filled out by the client of how well - or poorly - the speaker did.

ACCREDITED SPEAKER PROGRAM

Instructions to Evaluator: This judging and accreditation is to be undertaken with the sole purpose of determining the skill and expertise of the speaker as a professional. Toastmasters International considers the professional speaker as one who applies his or her communication skills toward the various purposes of speaking: informing, motivating, inspiring, entertaining, leading seminars and discussion groups, handling public relations, and dealing with problems of management.

CONTENT

Speech development: Did the speaker put ideas together so the audience can understand them? Was the speech structured around the purpose, and did the structure include an opening, body and conclusion? Did the speech immediately engage the audience’s attention and then move forward toward a significant conclusion? Was the development supported by relevant examples and illustrations, facts and figures …… (line is whited out) …. with a unified whole.

Audience response: Were you able to determine the speaker’s purpose? Did the speech relate directly to that purpose? Was the audience’s interest held by speaker? Was this speech subject appropriate for the particular audience?

Speech value: Did the speaker say something meaningful and original to the audience? The listeners should feel the speaker has made a contribution to their thinking. The ideas should be important ones, although this does not preclude a humorous presentation of them. If humor was used, did the speaker incorporate appropriate humor during the presentation?

DELIVERY

Physical: Did the speaker’s appearance reinforce the speech, whether profound, sad, humorous, and instructional? Did the body language support points through gestures, expressions, and body positioning?

Voice: Was the voice flexible, moving from one pitch level to another for emphasis, and did it illustrate a variety of rate and volume? A good voice can be clearly heard and words easily understood.

Platform style: Did the speaker speak with enthusiasm and assurance, showing interest in the audience and confidence in their reactions?

LANGUAGE

Appropriateness: This refers to the choice of words that relate to the speech purpose and to the particular audience hearing the speech. Did the language promote clear understanding of thoughts and precisely fit the occasion?

Correctness: Did the speaker make proper use of correct pronunciation?

A total of 80 is necessary to pass the live presentation. 68 points are required to pass the taped presentation.

100 points possible for live presentation; 85 for taped presentation

Warm up your calendars, there are three planned webinars for the rest of this Toastmaster year that we're going to try and work in to the VPPR calls. The plan is to format the calls such that the webinar is the first half hour, and then the rest of the call will be dedicated to talking about any issues you all have, and ensuring you're up on the latest goings-on. New district website launched 2/11
Please browse the new site and offer feedback either to the PRO team
Question was asked about what sort of announcements and calendar events could be posted. Short answer is anything down to Area level; Club level items should be posted on your club's website
Request to have the the old club/area list search restored; we may have a new solution, but the website is still in flux, so check back. Mike Kerr will submit request to our webmaster
Some bugs were identified, some of which our webmaster is aware of; please keep in mind the main priority was to go to a site that worked that we could post announcements on. Content and quirks will be ironed out progressively...
Announcement that was sent out from the District presumably to Club Presidents has not made it to most of the clubs who attended the call; VPPRs are requesting that blanket announcements that impact the District as a whole (new website, conference, newsletter) should be sent to an all-member mailing list instead of filtered down through the hierarchy so as to ensure there are no delays and that everybody receives it

Reminder to attend the remaining TLI's if you haven't
Requests submitted to increase the amount of time for officer sessions (1 hr min), and not to combine officer roles into single sessions (President/SAA, VPM/VPPR)
Many members live in western areas like near Front Royal or Culpepper, and work in Fairfax or core parts of Northern Virginia where they are club members. Because they live in the west, it is inconvenient or not possible in some cases for them to drive in to TLI's in Fairfax or DC. Members are requesting an additional TLI further west, perhaps in Warrenton or such

There is a producer-in-training program, plus you get Toastmasters credits in some of the manuals for working on it
Also get credits in some manuals for speeches delivered in front of the camera - a great reason for your club to schedule a show

Feedback on Communiques from the District

Some constructive feedback was given regarding emails and some publications that come from the District on events
Observations that some of them were unedited (specifically, not spellchecked), sloppily-worded, unbusinesslike and unprofessional
Some examples were past email flyers for Contests
One recommended solution was to have the PRO team responsible for contest and event flyers to ensure they are edited and professional-looking
Another recommendation was for any type of editing/vetting process

Next meting is on Wednesday, March 10 at 7pm. Reminders will be sent out a week prior, as well as a day or two prior (per request).

How You Can Donate

In the aftermath of the devastating earthquake last week, the people of Haiti need the most basic of care and supplies. More than 750 Toastmasters are located in the Port Au Prince area, one of hardest hit regions.

Setting up a disaster relief fund collection system within the clubs, areas and districts falls outside the charitable and educational purposes of Toastmasters International; however we recognize that many of you would like to lend your support.

Should you want to contribute, we recommend that you contact the American Red Cross. The organization is working with its partners in the global Red Cross and Red Crescent network, including the Haitian Red Cross, and other partners to assist those affected by this disaster. Simply go to www.redcross.org. There you'll find the How to Help section located in the middle of the page. Simply click on Donate Now and select Haitian Relief and Development from the list of options. There you will be taken to a page where you can register.

On a related note ... For our members who have an iTUNES account, donations can be made to the American Red Cross' Haitian Relief effort in $5, $10, $50, $100, and $200 amounts. One-hundred percent of all donations go to the Red Cross and the Haitian people in need. This method is very quick and efficient too. iTUNES then sends you an e-mail receipt for tax purposes and confirmation of your gift / donation.
